A company operating in the waste management sector ensures daily operations for hundreds of employees in various countries. This entails the need to regularly order personal protective equipment, from work clothing to safety devices. 

Orders for personal protective equipment (PPE) were handled in different ways – via emails, via separate Excel spreadsheets, and according to the local customs of individual branches. 

This situation led to inconsistent processes, limited cost control, and increased administrative burden for both managers and headquarters. The objective was to create unified, centralized system, which will meet these requirements: 

  • unify the order process across branches, 
  • ensures approval and budget control, 
  • take into account local specifics while maintaining central oversight. 

Solution 

The result was the implementation of a central system for ordering personal protective equipment, which: 

  • manages the range of protective equipment (gender, sizes, colors, etc.), 
  • allows employees to easily enter PPE orders, 
  • sets approval processes by branch and role, 
  • ensures a real-time overview of orders, 
  • centralizes consumption and cost data, 
  • eliminates manual entry of orders outside the system. 

The solution was proposed flexible so that it respects the differences between countries, while at the same time ensured a unified process standard across the entire organization. 

Technology 

The application is built on SharePointe v Microsoft 365, enhanced with automated workflows and custom application logic. Technological advantages of the solution: 

  • utilization of the company's existing Microsoft environment, 
  • Central data and access rights management, 
  • simple expansion into other countries or operations., 
  • intuitive user interface without the need for complex training. 

The entire system is designed with an emphasis on reliability, safety, and long-term sustainability. 

Result 

After implementing the solution, the company gained: 

  • internal e-shop product interface, 
  • a unified ordering process for all employees, 
  • better control over spending on protective equipment, 
  • significant reduction in administrative burden, 
  • instant overview of order status across countries, 
  • Increase transparency and simplify reporting for headquarters. 

The solution shows that even in an international environment with different local needs Is it possible to implement a unified and effective process, which supports employee safety while optimizing costs.
