Create Modern Self-Government - A Custom City Intranet

Digital transformation in today's world is no longer science fiction, but a necessary part of functioning. We all know how it works with documents that are pouring in from all sides. And yet, we don't know where anything is located. An example could be a busy office employee looking for one invoice and spending hours clicking through various folders and systems. The result is a desperate look at a blank screen and a multitude of open files. In our latest blog, you'll learn how to avoid such a situation.

One city hub for everything 

We present to you the digital city hall, or in other words, an intranet for municipalities. It serves as a homepage where you can find everything you need – from contracts, contacts, and the menu, to current announcements. Under the term “one place”, or homepage, we don't mean another tab on a shared drive, but a platform that makes sense. You'll find everything you need for fast and efficient operation on it. It replaces processes that could only be handled by long waits in corridors, and through digitalization and automation, a lot of time spent on routine tasks is eliminated. 

Citizen requests  

Day after day, new ideas, suggestions, and questions come from citizens, which not only require an answer with feedback but also a proposed solution. The request is recorded on the municipal intranet and automatically assigned to the person responsible for the given issue or agenda at the city. If a problem occurs multiple times, the system recognizes it. It analyzes, evaluates, shows statistics, and helps with decision-making. Citizen suggestions are thus recorded, sorted by priority, and city employees know which areas to focus on and what to improve. 

New employee 

When a new employee starts, it can take the IT department several days or even weeks to set up access to all the documents and applications the employee truly needs. The intranet helps grant all permissions on the first day of employment and upon signing the contract.  

An advantage for every new employee is that they immediately have a synchronized directory available with all important contacts of colleagues and collaborators within the city or municipality, which will speed up their integration not only into the work process. Everything at one click.  

Investments under control 

We can all very well imagine the paperwork involved in complex and demanding projects like investment actions. All project documentation, from deadlines, timelines, budgets, proposals, procurement, and financing, must be recorded so that one doesn't get lost. Using the intranet, each task is assigned to a responsible person who receives notifications, emphasizing the adherence to deadlines and timelines.   

AI – A Personal Assistant for Everyone 

Let's be honest, who wouldn't want a personal assistant to whom they can assign tasks they don't have time or desire for? For example, imagine you need to find out what was approved in a resolution from a year ago. Normally, this would mean digging through documents for at least half a day. An AI assistant can do this, and even in a few seconds. It will search through all the documents and provide an accurate answer based on them. What a simple time-saver, right? 

Conclusion 

Digital transformation isn't about replacing paper with tablets or computers. It's primarily about simplifying and improving daily operations. City or municipal employees will gain more time to focus on what's truly important and adds value – such as planning, innovation, or city development. Our system, which the intranet is built upon, operates without complex technological requirements. You'll save costs as there's no need to purchase servers, licenses, or power apps.
